TEAM MEETING AGENDA

1. Introduction to MECYPAA New member Kate K. joined the committee and Nikki explained briefly what MECYPAA is and what we have done so far to catch them up to speed.
2. Opening Prayer: The prayer chair was absent. Nikki led us in the serenity prayer.
3. Approval of minutes from last meeting. We briefly recapped the last meeting.
4. Reports:
a. Secretary – (absent Haley sat-in) no report
b. Co-chair – no report
c. Treasurer – report attached
i) Kate K. made a motion to accept the treasurer’s report and Shari seconded Passed unanimously.
d. Site Coordinator – Shari shared a few ideas of venues to look into for various events
e. Outreach – absent
f. Merch Chair – Shari is writing down sayings in meetings for new apparel and merch. Nikki suggested hoodies or beanies Shari will make 20 MECYPAA beanies and each hat will cost $6.37 approx. and will be sold for $20. Budget of $150. Haley motioned to accept and Jessie seconded Motion passed unanimously.
g. Graphics/Art Chair – Haley is awaiting event planning today to make up more flyers.
h. Web chair – Website up and running. http://www.MECYPAAevents.com, pre-register, donate, through Venmo by posting a QR code. Space to put up our flyers.
5. Old Business
i) Announce open positions – Web Chair
ii) The previous event, Halloween Dance, co-hosted with District 5 Love and Service Committee Profit approx. $459 was agreed upon prior at their business meeting that those proceeds from admission would be divided in half. Nikki reached out to Treasurer Mike and will reach out to their chair this week.
iii) Kate motioned to clearly outline how funds will be split up prior and follow through with execution. Haley seconded the motion and Motion passed unanimously.
6. New Business
i) Nikki announces Web Chair and reads suggested requirements 6mo sobriety, prior experience, posting timely minutes and content, and sending emails.
i) Kate K. volunteered for Web Chair position. They are 5.5 years sober, 10 yrs of experience with coding and web design. Jessie motioned to nominate Kate for web chair. Shari seconded the motion. A unanimous vote passed.
ii) Friday or Saturday was discussed for most events.
7. Our Upcoming Events and Fellowship/Network Opportunitiesi) 1/11 Game night co-hosted with YPG. Merch table concession stand. Possible movie Approx. 7:45-9:45pm @ St. Luke’s
ii) 2/13-2/15 EACYPAA Eastern conference of young people in AA Boston someone be available to go and sell merch
iii) 3/1 MECYPAA EVENTS COMMITTEE meeting 3-5 @ St. Luke’s
iv) NHSCYPAA New Hampshire YPAA date unannounced but around this time March 2025 Someone to go and sell merch
v) 4/26 Sober Prom (Shari will reach out to randy about a possible space in westbrook, pay for votes for prom king and queen, Westbrook or Portland 8-11pm
vi) 5/17 MECYPAA COMMITTEE meeting 3-5 St. Luke’s
vii) 6/7 CSO Founder’s Day volunteer opportunity
viii) 6/28 2nd Annual MECYPAA Cornhole Tournament, Concession stand

xv) The group discussed $10 for pre-reg tickets, the web chair will make digital tickets, $15 @ door for all events. Jessie motioned this and Kate seconded the motion. The motion was unanimously passed.
xvi) The group discussed outside events should have a rain date.
